2022 JEN CONFERENCE

COVID-19 POLICY

The deadline to submit your COVID-19 status information online was DECEMBER 10.
If you missed the deadline, bring your documentation with you to the registration counter in Dallas to receive your badge.

 

We look forward to seeing you in Dallas at the 13th Annual Conference!

JEN is committed to employing policies and procedures for the health of our performers, presenters, students, attendees, volunteers, exhibitors, and staff.

To support a healthy in-person conference,  Jazz Education Network will require proof of full vaccination against COVID-19 with a vaccine approved for emergency use by the United States Food and Drug Administration (“FDA”) or World Health Organization (“WHO”), with the final dose of their vaccine administered at least 14 days before entry (December 22, 2021).

OR

proof of a negative COVID-19 test taken within 72 hours of arrival at the conference as a prerequisite to attending and participating in the JEN conference.


REGISTRATION REQUIREMENTS

To receive your registration badge to attend and/or participate in the JEN Conference in Dallas, Jazz Education Network will require

EITHER

1. Proof of full vaccination against COVID-19

Final dose administered at least 14 days before entry. (December 22, 2021)

  • The deadline to submit your COVID-19 status information online was DECEMBER 10.
    If you missed the deadline,
    BRING IT WITH YOU. Bring your Proof of vaccination with accompanying photo ID to the conference registration window upon arrival to receive your badge, 
OR

2. Proof of a negative COVID-19 test

A negative PCR test taken within 72 hours of arrival or a negative COVID-19 rapid antigen test taken within 6 hours of arrival.

 

Attendees have the option of providing a negative COVID-19 test at the conference registration counter in Dallas to receive your badge,

NOTE: Please be prepared to wait in line if choosing to register or show vaccination documentation at the registration counter.



MASK POLICY

Whether vaccinated or not, ALL individuals will still be required to wear a mask that covers the nose and mouth while inside the Exhibit Hall or a room that is being used to present a JEN Conference session, meeting, or performance. Performers and presenters may choose to wear or not wear a mask during their performance or presentation.

Masks must completely cover the mouth and nose.  Makeshift masks are not acceptable, including non-surgical paper masks, scarves, neck gaiters, shirts pulled up, and the like.

Jazz Education Network reserves the right to refuse entry or remove from a performance room, presentation room, or the  exhibit hall any individuals who do not adhere to these policies.

COVID-19 POLICY ACKNOWLEDGMENT

All Jazz Education Network Conference attendees are required to acknowledge and accept our COVID-19 Policy. Your conference registration is acknowledgment and agreement of the JEN Conference COVID-19 Policy. 

As new guidance regarding best practices becomes available, we will continue to update our policies and procedures regarding COVID-19 in relation to the JEN Conference, January 5-8, 2022.



FAQs

Will I be required to wear a mask at the conference?

Whether vaccinated or not, ALL individuals will still be required to wear a mask that covers the nose and mouth while inside the Exhibit Hall or a room that is being used to present a JEN Conference session, meeting, or performance. Performers and presenters may choose to wear or not wear a mask during their performance or presentation.

What kind of COVID-19 test is acceptable at registration?

Attendees opting to provide a negative COVID-19 test, please present one of the following at registration:

  • A negative COVID-19 PCR test taken within 72 hours of arrival
  • A negative COVID-19 rapid antigen test taken within 6 hours of arrival

NOTE: A limited amount of rapid antigen tests will be available for $15 at the registration counter. Directors of student ensembles will have first priority to purchase. (Available while supplies last.)

You may present proof of a negative test on paper or a smartphone.

If an attendee arrives without proof of COVID-19 vaccination or a negative COVID-19 test, they may visit one of the Dallas County Local Testing Sites.  Please note that most tests take 3 days to receive results.

What if I am not vaccinated?

Good news! If you get your second shot on or before December 22, you will be fully inoculated before the conference. To find a place near you to get a free COVID-19 Vaccination, visit https://www.vaccines.gov/search/.

Otherwise, please provide a negative COVID-19 test at registration: 

  • A negative COVID-19 PCR test taken within 72 hours of arrival
  • A negative COVID-19 rapid antigen test taken within 6 hours of arrival

You may present proof of a negative test on paper or a smartphone. 

Where are the nearest local testing resources?

If an attendee arrives without proof of COVID-19 vaccination or a negative COVID-19 test taken within 72 hours of arrival, they may visit one of the Dallas County Local Testing Sites and return to the registration counter with proof of negative testing.

Will booster shots be required?

No, booster shots will NOT be required.

What if I tested positive prior to the conference?

If you tested positive prior to the conference, you may attend if cleared within 5 days of the event, per the CDC isolation/quarantine guidelines. Click to read the CDC guidelines.

Bring documentation of recovery from COVID-19 to the registration counter

  • Your positive COVID-19 viral test result on a sample taken no more than 90 days before your arrival at the conference and,
  • A letter from a licensed healthcare provider or a public health official stating that you were cleared to travel and/or be in group settings/attend events.

As public health conditions and national, state, and city guidelines change, we will remain flexible, adapting the latest recommendations and health protocols while keeping you informed of any changes to our attendance requirements.

What if I am ill right before the conference?

For everyone’s safety, we ask that you please remain home if you are having any COVID-19 symptoms.

  • Fever or chills
  • Cough
  • Shortness of breath or difficulty breathing
  • Fatigue
  • Muscle or body aches
  • Headache
  • New loss of taste or smell
  • Sore throat
  • Congestion or runny nose
  • Nausea or vomiting
  • Diarrhea

Stay home if you have been recently exposed to someone who has COVID-19 per the current quarantine guidelines

  • If you become ill during the conference, we ask that you self-quarantine in your hotel room. It is essential that you refrain from attending conference events if you are unwell. If you picked up your badge at the registration desk, no refund will be provided.

As public health conditions and national, state, and city guidelines change, we will remain flexible, adapting the latest recommendations and health protocols while keeping you informed of any changes to our attendance requirements.

What if I am ill during the conference?

What do I do if one of my kids gets ill during the conference?

For the health and safety of all attendees and participants, anyone who becomes ill during the conference should self-quarantine in their room or return home if feasible.

My child is too young for the vaccine or has not been vaccinated. Are they still able to attend the conference?

Since all children under the age of 12 are currently ineligible to receive the vaccine, they will need to show proof of negative COVID-19 test results taken within 72 hours before arrival to be able to attend the 2022 JEN Conference.

If children 12 and under become eligible to receive the vaccine, and their second dosage is administered on or before December 22, please arrive at the registration counter with documentation.

I am unable to get the vaccine for medical reasons. Can I still attend the conference?

If you have a medical exemption, you may still attend the JEN Conference by providing a negative COVID-19 test taken within 72 hours with an accompanying photo ID when picking up your badge at the registration counter. 

PHOTO ID REQUIRED

Along with proof of vaccination, all guests 18 years or older must also present a government-issued photo ID, such as a driver’s license or passport.

Guests under 18 may also use a school ID, with or without a photo. Other forms of ID may also be accepted, such as a copy of a birth certificate or other government-issued ID.

Children under 12 must be accompanied by an adult who meets the above requirements.

What is the refund policy?

We understand that your comfort levels may change in the coming months and, as a result, have expanded our refund policy. Should you feel ill or are no longer comfortable attending the conference for which you have registered, you may request a refund, at no cost to you.

    • Refund Requests will be honored on a case-by-case basis.
    • Refund Requests must be received by 12pm, January 4, 2022.

CONDITIONS FOR REFUND
  • For approved refunds, a credit will be issued to the original method of payment used to make the original purchase.
  • Refunds apply to 2022 JEN Conference and Benefit Concert registrations only.
